A PDF that opens on your laptop is not necessarily ready to print. A print-ready cookbook PDF has to survive a more demanding chain: upload, automated file checks, rasterization, imposition, trimming, binding, and physical use. Missing fonts, low-resolution photographs, wrong page dimensions, or a single object outside the safe area can produce a rejection—or worse, a book that prints but looks wrong.
The reliable approach is a repeatable preflight. Treat the exported PDF as a manufacturing file, not merely a convenient copy of the manuscript.
Freeze the production specification first
Before export, write down the exact specification for the edition:
- printer and product type;
- final trim width and height;
- binding and paper;
- interior ink option;
- bleed or no bleed;
- minimum margins and gutter;
- required PDF standard or preset;
- expected page count.
Do not use values remembered from another book. Printer rules differ, and a change in page count can alter the required gutter and cover spine. Amazon KDP's paperback submission guidelines are a useful example: interiors must be supplied as single pages rather than spreads, images should be at least 300 DPI, and fonts must be embedded.

Build the interior as single pages
Design software often displays facing pages because that is how a book is read. The print PDF normally contains individual pages in reading order:
- front matter;
- body pages;
- back matter.
Do not export printer spreads, two-up sheets, or manually imposed signatures unless your specific printer asks for them. The printer's production system handles imposition.
Confirm that left and right pages alternate correctly. Odd-numbered pages are generally right-hand pages. Chapter openers may intentionally start on a right- hand page, with a blank page inserted before them. An accidental missing blank page can flip the layout for the remainder of the book.
Set trim, bleed, and safe areas correctly
The document's page box must match the printer's formula. For KDP interiors with bleed, the PDF page is 0.125 inch wider and 0.25 inch taller than the selected trim size. Artwork that reaches an edge extends into that bleed area; body text and essential details stay inside the safe margins.
A practical page has three zones:
- Bleed area: disposable image or background beyond the trim.
- Trim edge: where the finished page is intended to be cut.
- Safe area: where text, page numbers, and essential image details remain.
Bleed is not created by adding crop marks. It comes from extending the artwork. KDP explicitly lists crop marks, trim marks, comments, annotations, and other non-printing objects among common file problems. Upload the clean page, not a designer's review sheet.
Audit every image at placed size
A photograph can be 6000 pixels wide and still print poorly if it has been cropped aggressively or enlarged far beyond its original size. Check effective resolution—the resolution after scaling in the layout—not only the source file.
For each image:
- confirm effective resolution meets the printer's requirement;
- inspect focus and compression at 100 percent;
- remove accidental screenshots or web thumbnails;
- check that intended full-bleed images reach beyond the trim;
- keep faces, plate edges, labels, and garnishes away from the cut line;
- verify captions match the correct recipe.
Adobe's current print-ready PDF guidance recommends resolving low-resolution images below 300 ppi, missing fonts, missing links, and overset text before export. A preflight panel is useful, but visual inspection is still necessary: software cannot know that the wrong soup photo was placed beside a recipe.
Embed fonts and verify licensing
Every font needed to render the interior should be embedded in the PDF. Without embedding, another system may substitute a different font, changing line breaks and recipe pagination.
Check the PDF's font properties after export. Look for:
- an embedded or embedded-subset status;
- no unexpected fallback fonts;
- no duplicate families with slightly different names;
- correct special characters, fractions, and accented ingredient names;
- a license that permits print and ebook distribution.
Font embedding is a production requirement; font licensing is a publishing requirement. Passing the printer's check does not grant distribution rights.
Find overset and invisible content
Cookbooks contain dense, structured text. A small edit to an ingredient can push the last instruction out of its frame. Before export, require zero overset text in the source document. After export, compare the first and last words of every recipe against the approved manuscript.
Also inspect:
- ingredient quantities at line ends;
- continuation pages that lost the recipe title;
- page numbers hidden on dark photos;
- white text accidentally placed on a white background;
- objects left on hidden or non-printing layers;
- links or notes intended only for editors.
The goal is not just "all text exists." It must be visible, ordered, and attached to the correct recipe.
Use color deliberately
Ask the printer which color spaces and profiles it accepts. Some print-on-demand platforms accept RGB and perform conversion; other workflows request a specific CMYK profile or PDF/X standard. Blindly converting with an arbitrary profile can damage photographs just as easily as leaving the decision to chance.
Soft-proof important images when the printer provides a profile. Pay attention to bright greens, saturated reds, deep shadows, and subtle neutral backgrounds. Food photography is particularly sensitive to color shifts because an unappealing cast changes how fresh the dish looks.

Export with a named, repeatable preset
Create an export preset for each printer/edition instead of clicking options from memory. Include:
- page export, not spread export;
- required PDF compatibility;
- image compression and downsampling rules;
- bleed values;
- no printer marks unless requested;
- font embedding;
- color conversion policy and destination profile;
- tagged PDF settings if the channel uses them.
Name the file clearly, for example:
weeknight-cookbook-interior-8x10-bleed-v07.pdf. Keep the cover separate unless
the printer asks for a combined file.
Inspect the exported PDF, not only the source
Close the design document and review the PDF as a fresh artifact. Check:
- File opens without a password or warning.
- Page dimensions match the production spec.
- Page count matches the approved pagination.
- Pages are single, ordered, and upright.
- Fonts are embedded.
- Images remain sharp.
- No crop marks or comments appear.
- Links and bookmarks behave as expected for the digital edition.
- Metadata has the correct title and author.
- No blank or duplicate pages appeared during export.
Use the platform's online previewer after upload. Automated warnings are not mere bureaucracy; they often pinpoint a real manufacturing risk. Fix the source, export again, and increase the version number rather than patching the PDF with untracked one-off edits.
Order a proof before approving distribution
A PDF cannot show paper opacity, binding loss, trim variation, ink density, or how a photograph changes under real light. Order a physical proof of the exact edition. Cook from it. Open the book near the middle, read a recipe at counter distance, and check whether the gutter swallows text.
Keep a proof log with the PDF version, printer settings, date, and corrections. When the proof is approved, archive both the source package and the exact upload PDF. That pair becomes the production master.
